The Rudolph Libbe Group of Companies, a top-tier Commercial and Industrial construction and facility services firm, is seeking a detail-driven, highly organized Proposal Coordinator to support our pursuit efforts on high-profile projects. In this fast-paced role, you’ll assist in developing strategic proposals and compelling presentations that showcase our strengths and win new business. The Proposal Coordinator works under the direction of the Proposal Manager, collaborating with Business Development, Preconstruction, and Marketing teams to support the execution of proposals (RFPs, RFQs, RFIs) and presentation campaigns. This role helps translate strategy into polished, consistent, and visually engaging deliverables that clearly communicate our value and competitive edge. The end goal: to help position Rudolph Libbe Group as the trusted partner of choice—and win the work.
 

JOB RESPONSIBILITIES

 
The Proposal Coordinator duties include, but are not limited to the following:
  • Collaborate with Business Development, Preconstruction, and Marketing teams to gather content and ensure alignment with proposal strategy.
  • Participate in proposal kickoff meetings and contribute to brainstorming sessions for themes, messaging, and visual concepts.
  • Layout responses using Adobe Creative Suite, specifically Adobe InDesign, Photoshop, and Acrobat.
  • Assist in quality control by proofreading, formatting, and ensuring compliance with RFP requirements and internal standards.
  • Maintain and update proposal content libraries, resumes, and project descriptions in coordination with the Proposal Manager.
  • Assist with presentation creation and refinement.
  • Gather and synthesize data from related associates, the CRM and server for proposals. Complete research using provided resources and tools when necessary.
  • Conceptualize complex proposal graphics, themes, and technical concepts to solve visual communication problems from concept to completion. Conceptualize, render, and edit proposal graphics.
  • Maintain version control of all proposal graphic files.
  • Create proposal-related charts and figures, and business development materials.
  • Assist in proposal production efforts such as print and assembling binder covers and spines.
  • Meet tight deadlines and work on multiple projects/proposals simultaneously.
 

SKILLS

  • Proficiency in Adobe Creative Suite (InDesign) & Microsoft Office Suite (PowerPoint).
  • Proficiency in production art with design in a Mac-based environment.
  • Ability to write clear, persuasive, and professional proposal content.
  • Possess excellent skills in writing and communication.
  • Project management skills; able to plan, achieve, and evaluate results as a member of the proposal team and/or on your own.
  • Ability to work alone and in collaboration with others.
  • Excellent communication skills and ability to offer input and feedback to team members.
  • Excellent time management skills and ability to prioritize workload.
  • Proactive mindset with a willingness to learn and grow within the proposal development process.
  • Ability to anticipate needs and take initiative in supporting proposal efforts.
  • Resilience under pressure, with the confidence to push a team toward excellence.
  • Ability to collaborate with Business Development Managers, Project Executives, Preconstruction Leaders, Project Managers, Marketing and relevant consultants in the proposal process.
  • Must be a self-starter with the ability to manage multiple priorities/tasks and possess strong organizational skills.
  • Effective project management, communication, writing, and computer skills are essential.
  • Advanced graphic design skills are not required but would provide a competitive advantage in the day-to-day success of this role.
  

EDUCATION/EXPERIENCE

  • Bachelor’s Degree in Marketing, Communications, Journalism, Graphic Design, or related major or 2-5 years relevant/equivalent experience in a marketing or creative environment.
  • Two (2) years of related proposal / graphic design experience is preferred, but not necessary.
  • Creativity and willingness to explore new, outside-the-box approaches for each unique opportunity
  • Knowledge of CRM systems and associated databases if preferred, but not necessary
